Welcome to the client portal
The client portal is where you review shortlisted candidates, approve weekly timesheets and view invoices from your recruitment agency. It gives you a single place to manage the candidates and contractors your agency supplies.
What the portal is for
The portal supports three core tasks:
- Review candidates. Your agency shortlists candidates against your open roles. You see their CVs, the agency's notes and can approve, reject or ask for more information.
- Approve timesheets. Each week the contractors working at your sites submit hours. You approve, reject or request changes before your agency runs payroll.
- View invoices. Your agency issues invoices for the work done. You can see line-by-line detail, download PDFs and raise queries.
How you got here
Your agency invited you as a client contact. You received an email with a link to set your password and sign in. The portal URL is unique to your agency, so the page you see is branded for them, not for RecSphere.
Your portal URL is unique to your agency; bookmark it so you can return without searching your inbox for the invite email.
The main sections
Once signed in, you'll see these areas in the navigation:
- Dashboard. A summary of what needs your attention: new shortlists, pending timesheets and recent invoices.
- Candidates (sometimes labelled Shortlists). The candidates your agency has put forward for your roles.
- Timesheets. Weekly hours submitted by contractors working at your locations.
- Invoices. Invoices your agency has issued to your organisation.
- Account. Your contact details, password and notification preferences.
Hiring Manager versus Compliance Approver
Your agency may give you one of two views:
- Hiring Manager. Focused on candidates and timesheets for the roles you own. You see shortlists, approve interviews and sign off the hours your contractors work.
- Compliance Approver. Focused on the documents, references and right-to-work checks your agency holds. You confirm a candidate is cleared to start without seeing rate or pay information.
Some clients combine both views in a single account. If you're not sure which view you have, your agency contact can tell you.
