Reviewing candidates
When your agency shortlists candidates for a role you've asked them to fill, they appear in the Candidates view of your portal. From here you can read CVs, leave feedback and decide who you want to interview.
Opening the Candidates view​
- Sign into the portal.
- Open Candidates (sometimes labelled Shortlists) from the main navigation.
You'll see a list with one row per shortlisted candidate per vacancy. The same person can appear twice if your agency has put them forward for two different roles, for example Senior Nurse at Bristol Royal Infirmary and Senior Nurse at Birmingham Children's Hospital.
Reading a candidate's details​
Click any row to open the candidate's record. You'll see:
- The CV, in PDF or web view.
- The agency's notes (why they think this person is a good fit).
- Any compliance documents your agency has chosen to share, such as right-to-work confirmation.
- Availability for the role, if your agency captured it.
The candidate's contact details are usually hidden until you approve them for interview. This protects the candidate and your agency's relationship.
Adding feedback​
Use Add comment under the candidate's notes to leave feedback. Your comment is visible to your agency, not to the candidate.
Useful things to mention:
- Why a candidate doesn't suit (too senior, wrong location, missing a specific qualification).
- Questions you'd like the agency to follow up on before interview.
- Whether you'd be open to seeing similar candidates.
Even a one-line note helps your agency send better candidates next time. "Too far to travel" or "looking for someone with paediatric experience" gives them something to work with.
Approving for interview​
- Open the candidate's record.
- Click Approve.
- Optionally add a note (for example, "Available Tuesday or Thursday next week").
Your agency receives the decision immediately and contacts the candidate to arrange the interview. The candidate's status in your portal changes to "Approved for interview".
Rejecting a candidate​
- Open the candidate's record.
- Click Reject.
- Pick a reason from the list (location, experience, qualifications, availability or other).
- Add an optional note for the agency.
The candidate is removed from your active shortlist. The agency can still see your reason and use it to refine future shortlists.
Requesting more information​
If you need more detail before deciding, click Request more info and describe what's missing. Common requests include:
- Specific clinical experience or a particular software certification.
- Clarification on availability or notice period.
- A second reference or a portfolio sample.
Your agency receives the request and replies inside the portal once they have the answer.
