Shared documents

Your agency uses the Documents tab to share contracts, policies and other documents with you. Some are read-only; others need your electronic signature before you can be booked.

Where documents appear​

Click Documents in the sidebar. The list shows every document your agency has shared with you, grouped by type. Each row shows:

  • The document name.
  • The type (contract, terms, policy, certificate).
  • The date it was shared.
  • The current status (To sign, Signed, Read, Expired).

Document types​

You'll typically see the following:

  • Contracts - your contract of engagement for a specific role or period.
  • Terms of business - the agency's overarching terms with you.
  • Compliance certificates - certificates the agency issues or holds on your behalf (for example, induction completion).
  • Policies - workplace policies you need to acknowledge (data protection, health and safety, equal opportunities).

Reading a document​

Click the document name to open it in the viewer. You can:

  • Scroll through the full document on screen.
  • Zoom in or out.
  • Search the text.
  • Download a copy at any time using the Download button at the top.

Signing a document electronically​

If a document needs your signature, the status shows To sign and you'll see a Sign document button at the top of the viewer.

  1. Read the document in full.
  2. Click Sign document.
  3. Type your full name to confirm.
  4. Click Confirm and sign.

The portal records your name, the date and time, and your IP address as part of the signature.

After signing, the document moves to Signed and a signed copy (with your signature block on the last page) becomes available for download.

Keep copies

Download a copy of every signed document for your own records. The portal keeps them too, but having your own copy means you can refer back to them even if you stop working with the agency.

Expired documents​

Some documents have an expiry date (for example, an annual policy acknowledgement). When a document expires, its status changes to Expired and your agency usually shares a fresh version. The old version stays in the list as a record; sign the new one when it arrives.
