Submitting timesheets

A timesheet records the hours you worked across a single pay week. You submit one timesheet per active contract per week. Your agency (or the client) approves it, and the hours feed into the next payroll run.

Opening Timesheets​

Click My timesheets in the sidebar. The list shows every week that needs a timesheet, with the most recent week at the top.

Your contract drafts a timesheet for every week of its whole duration in advance. To keep the list focused, each one only appears for you the week before it is due, so you see the timesheet you need to complete rather than the entire run at once.

Each row shows:

  • The week (Monday to Sunday).
  • The contract the timesheet is for.
  • The current status: Draft, Submitted, Approved, Rejected, Paid.
  • The total hours so far.

Choosing the week​

Click the week you want to log. If your week shows Not started, the portal opens a blank timesheet. If it shows Draft, your in-progress entry opens with what you've saved so far.

Entering hours per day​

For each day you worked, click into the day to add a shift:

  1. Pick the Shift type (day, night, weekend, on-call).
  2. Enter the Start and End time.
  3. Enter any Break in minutes (unpaid).
  4. Click Save.

The portal calculates total worked hours for that day automatically.

You can add more than one shift per day if you worked split shifts. Add each shift separately so the pay calculation is correct.

Agreed expense claim lines​

If your contract has forecast expense amounts agreed on it, such as an agreed accommodation amount per timesheet, those claim lines appear automatically on your timesheet. You do not need to add them yourself. Claim against each line for the week, and they are submitted with the rest of the timesheet.

Adding notes​

If anything about the week needs explaining (a missed break, an overtime shift, a cancelled shift), add a short note in the Notes field at the bottom. Your approver sees the note when they review the timesheet.

Submitting​

When you've entered every shift for the week:

  1. Review the totals at the top of the timesheet.
  2. Click Submit timesheet.

The status changes to Submitted and the timesheet is locked from editing until it's approved or rejected.

Submit on time

Timesheets submitted after your agency's weekly cutoff move to the next pay cycle. The cutoff is set by your agency and shown at the top of the timesheet. If you miss it, you still get paid - just on the following payroll run.

What happens next​

Your recruiter (or the client, if your agency uses client approval) reviews the submitted timesheet. You'll get an email when it's approved or rejected. Approved timesheets feed into the next payroll run and appear on your next payslip.

Editing a rejected timesheet​

If your timesheet is rejected, the status changes to Rejected and the approver's reason appears at the top. To fix it:

  1. Open the rejected timesheet.
  2. Correct the entries the approver flagged.
  3. Click Submit timesheet again.

It then goes back into approval and you'll be notified of the new outcome.
