Your first login

This article covers what you see the first time you sign in to RecSphere, and the few settings worth configuring before you start working.

Signing in​

  1. Open portal.recsphere.co.uk/login.
  2. Enter the email and password you registered with (for example, john@recsphere.co.uk).
  3. Click Sign in.

If your workspace has single sign-on enabled, you will see a Sign in with SSO button instead. Use that and follow your identity provider's prompts.

Completing your profile​

On first sign-in, RecSphere prompts you to finish your profile. Add:

  • Your full name as you want colleagues to see it.
  • A profile photo (optional, but helps colleagues recognise you in shortlists and messages).
  • A contact phone number.
  • Your timezone, so meetings and timestamps display correctly.

You can edit any of this later from Settings > Profile.

The dashboard at a glance​

After your profile is saved, you land on the dashboard. It shows:

  • Your tasks: items assigned to you, such as candidates to call back or shortlists to review.
  • Recent activity: a feed of changes made by you and your colleagues.
  • Widgets: charts and counters for vacancies, placements, and pipeline stages.
Customisable layout

The dashboard supports drag-and-drop widgets. You can add, remove or resize widgets to show the metrics that matter most to you. See the Reports section for more advanced charting options.

Finding your way around​

The main menu lives in the sidebar on the left. From there you can jump to Candidates, Vacancies, Clients, the Pipeline, Compliance, Contracts, Payroll and Reports.

A global search box sits at the top of every page. Use it to find a candidate, vacancy or client by name, email or reference. For example, searching for RS-1045 jumps you to that vacancy. Searching for sarah.williams@example.com opens Sarah Williams's candidate record.

Preferences worth setting​

Open Settings > Preferences and check:

  • Language: defaults to English (UK).
  • Timezone: confirm it matches your working location.
  • Notifications: choose which events trigger an email, in-app alert, or both. Common settings are new candidate applications, shortlist comments and timesheet approvals.
Quieter inbox

Turn off email notifications for events you can see in the activity feed, and keep in-app alerts on. You stay informed without flooding your inbox.
