Integrations overview
RecSphere connects to the tools your agency already uses for finance, telephony, marketing, calendars and messaging. This page lists every supported integration and points you to the article for each one.
Where integrations live​
All connections are managed from Settings > Integrations. The page groups providers into areas such as Job Boards, Company Emails, Personal Emails, VOIP, Communication, Payroll and Marketing. Each area shows the relevant provider cards and the available add/connect actions.
You need the 'Admin' role to connect or disconnect an integration. Recruiters can use a connected integration once an admin has set it up.
Supported integrations​
RecSphere ships with the following provider integrations.
- Xero - sync invoices, bills and payroll data with Xero (UK or AU).
- idibu - post vacancies to multiple job boards through idibu and receive applications back.
- Company Emails - connect shared inboxes such as vacancy or jobs inboxes so RecSphere can read authorised emails, match known client contacts and create parsed vacancy records.
- Aircall - automatic call logging against candidate and client records.
- Mailchimp - push candidate and client segments to Mailchimp audiences.
- WhatsApp Cloud API - send and receive WhatsApp messages from the Inbox.
- Microsoft 365 - email sending, calendar sync and contact lookup.
- Google Workspace - email sending, calendar sync and contact lookup.
Connect your email and calendar first; they underpin interview scheduling and message threading.
Common connect flow​
Most integrations follow the same three-step pattern.
- Open Settings > Integrations and find the provider you want to connect.
- Click Connect. You are redirected to the provider to sign in and grant access (OAuth).
- Return to RecSphere and finish any provider-specific configuration, then click Test connection.
Once connected, the panel shows a green status indicator, the account name and the date of the last successful sync.
Company email inboxes​
Company email inboxes are managed from Settings > Integrations > Company Emails. An administrator can connect multiple shared mailboxes, such as different vacancy inboxes for locum or permanent work.
For vacancy parsing, the inbox can be set as a vacancy inbox and may have a default employment type such as locum or permanent. If no default is selected, RecSphere attempts to infer the type from the email content.
Use Manage Access to control which users can see and work with the shared mailbox from Communications. A connected shared inbox does not mean every user automatically has access to it.
Disconnecting​
To remove a connection, open the provider panel and click Disconnect. RecSphere stops syncing immediately. Historical data already pulled in stays on your records, but new updates from the provider stop arriving until you reconnect.
Disconnecting does not wipe mappings or settings. When you reconnect the same account, your previous configuration is restored.
Permissions and OAuth scopes​
Each provider asks for specific permissions during the OAuth flow. RecSphere requests the minimum scopes needed for the features you have enabled. You can review the exact scopes granted by opening the provider panel and clicking View permissions.
If your provider account uses two-factor authentication or single sign-on, complete those checks during the Connect flow as you normally would.
