Contract documents and compliance

Contract records include Documents and Compliance tabs for managing files and compliance information linked to the placement.

Contract Documents​

Open a contract and select Documents.

The documents table can show:

  • Name
  • Signing
  • Type
  • Upload Date
  • Options

Actions can include:

  • Add
  • Merge PDFs

Depending on your workspace configuration, contract and payroll workflows may also use generated document templates. These templates can draw on contract, timesheet, candidate, client, supplier or rate information to produce documents such as contract packs, invoice-style documents or supplier-bill-style outputs.

Upload a contract document​

Use Add to upload a document.

The upload flow can include:

  • document type
  • file selection
  • upload

Only upload documents that belong to the contract and are appropriate for the placement record.

Merge PDFs​

Use Merge PDFs to combine selected PDF files into one output file.

Check the contents before merging or saving the new file.

Generated documents​

Generated documents depend on the template selected and the data available on the related records.

Before using a generated document, check:

  • the template or document type
  • candidate and client details
  • contract dates and schedule
  • rate and payment type
  • timesheet information included in the output
  • branding or letterhead
  • whether the document is for internal use, the candidate, the supplier or the client

For direct engagement or supplier-style workflows, confirm with payroll which document should be generated and whether it should be sent, exported or kept as an internal record.

Contract drafts and signing​

Where contract templates are configured, a contract may show actions to create draft documents for the candidate and client.

Draft generation can pull information from:

  • candidate profile
  • client profile
  • vacancy
  • shortlist
  • contract details
  • schedule
  • rate and financial setup
  • branding or letterhead
  • signature requirements

After drafts are generated, review them before sending. Generated drafts may be viewable or downloadable from the contract documents area.

Signing workflows can include sending the documents directly, or copying a one-time signing link for use in another channel such as SMS or WhatsApp where your process allows it.

Review drafts before sending

Generated contract documents can include personal, commercial and payroll information. Check the candidate, client, dates, rate, schedule and recipient before sending or sharing a signing link.

Contract Compliance​

Open the Compliance tab to review candidate compliance information connected to the contract.

The tab may include:

  • Candidate Compliance
  • Send Documents
