Audit log

The audit log is a tamper-evident record of every meaningful action in your RecSphere workspace. This article explains what is logged, where to find it, and how to filter and export entries.

What is logged​

RecSphere records an entry for every action that changes data or affects access. That includes:

  • Records - create, edit and delete on candidates, vacancies, clients, contracts and timesheets.
  • Settings - changes to company settings, integrations and rate cards.
  • Access - sign-ins, sign-outs, failed login attempts and password resets.
  • Permissions - role changes, custom role edits, and team invites.
  • Exports - any CSV, Excel or PDF export of workspace data.

Each entry captures the user, the action, the affected object, the timestamp and (where relevant) the before-and-after values.

Where to find the log​

Open Admin > Audit log. By default the log shows the last 30 days, most recent first.

Filtering entries​

Use the filter bar at the top of the log to narrow the list:

  • User - show actions by a specific colleague, for example John Smith.
  • Object type - candidate, vacancy, contract, setting, login.
  • Object ID - the identifier of a single record, for example vacancy RS-1045.
  • Action - created, edited, deleted, exported, signed in.
  • Date range - any window from the last hour to the full retention period.

Combine filters freely. The URL updates with each filter so you can share a saved view with a colleague.

Investigations

Filter by object ID to see the full history of changes on a single candidate or contract. This is the fastest way to answer "who edited Sarah Williams' phone number last Tuesday?".

Exporting the log​

Click Export above the filtered list to download the current view as CSV. The export includes every field shown in the table plus the before-and-after JSON for edits. Exports themselves are recorded in the log.

Retention​

The audit log is retained for 2 years on every plan. Enterprise workspaces can extend retention up to 7 years on request. After the retention period, entries are deleted automatically.
