Using the pipeline

The Pipeline page is marked Early Access in the CRM. Use it to track live recruitment work, review related tasks and filter activity by record type. The available lanes, columns and actions may change as the pipeline rollout is refined for your workspace.

Opening the pipeline​

Open Pipeline from the sidebar. The page includes Pipeline and Tasks views, record-type filters such as Candidate, Client and Project where enabled, search, filters and an Add action.

Filtering the pipeline​

Use the filters at the top of the page to narrow what you see:

  • Record type - focus on Candidate, Client or Project activity where enabled.
  • Owner or assigned user - focus on your own work or the work visible to your role.
  • Search - find a person, client or project quickly.
  • Filters - narrow the view using the fields configured for your workspace.

Filters combine, so use them together when you need a smaller working list.

Acting from pipeline​

Depending on your permissions and the record type, pipeline actions may let you:

  • Add or review a task.
  • Open the related candidate, client or project record.
  • Record follow-up activity.
  • Continue the workflow from the underlying record, such as the candidate, shortlist, vacancy or contract.

How candidates move through the board​

You do not need to manage every stage by hand. Pipeline position and status can be driven by work completed elsewhere in the CRM, such as CV upload, availability, compliance, shortlisting, submission, booking and contract activity.

Typical stages can include qualified, compliance started, submission ready, shortlisted, submitted, booking confirmed and active maintenance. Your workspace may use slightly different wording while Pipeline is in Early Access.

To move someone on, do the underlying work rather than dragging the card.

Rejections and outcomes​

Rejections and shortlist outcomes should be recorded from the relevant shortlist, vacancy or candidate record. This keeps the shortlist history, candidate record and pipeline position aligned.

Temperature​

Each candidate carries a temperature - hot, warm or cold - that you can set to show how likely their pipeline work is to land. You can filter the board by temperature.

Temperature is useful for one-to-ones and for gauging the strength of your pipeline at a glance.

Value and gross margin​

Later workflow stages may surface potential value and gross margin where those fields are configured. Use the vacancy, shortlist and contract financial tabs for the detailed figures behind pipeline values.

Audit trail​

Every move, rejection and stage change is timestamped against the candidate's shortlist entry, with the user who made the change. You can see this history on the candidate's record, or run an audit report if you need a broader view.
