Creating reports

The report builder lets you answer questions that the default dashboards do not cover. Pick a base object, add columns and filters, then group and aggregate to taste. A custom report runs against the filters you set, such as a chosen consultant and a date range, and produces the output for those metrics.

The report builder​

Every report starts with a base object. The base object decides the rows of your report.

  1. Open Reports in the main navigation.
  2. Click Add report.
  3. Choose a base object:
    • Candidate - one row per candidate.
    • Vacancy - one row per vacancy.
    • Contract - one row per active or past contract.
    • Timesheet - one row per timesheet.
    • Invoice - one row per invoice.
  4. Give the report a working title, such as "Placements by recruiter, last 30 days".

You can change the base object later, but doing so resets your columns. Pick the one that matches the unit of analysis you care about.

Selecting columns​

After choosing a base object, the column picker shows every field available on that object and its related records. For example, a Vacancy report can pull in the client name, location, owning recruiter and current pipeline counts.

  1. In the column picker, tick the fields you want to see.
  2. Drag column headers to reorder them.
  3. Use the Search field in the picker to find fields quickly.

Keep your column list tight. A focused report of 6-10 columns is easier to read than one with 30.

Adding filters​

Filters narrow the rows that appear in the report.

  1. Click Add filter.
  2. Pick a field, an operator (is, is not, contains, between) and a value.
  3. Combine filters with AND and OR as needed.

Common useful filters include date ranges (placement date in the last 30 days), status (vacancy status is Open) and ownership (recruiter is John Smith).

Grouping and aggregations​

Grouping rolls your rows up by a chosen field. Aggregations summarise each group with a count, sum or average.

  1. Click Group by and pick a field, such as Recruiter or Client.
  2. Add aggregation columns:
    • Count of records in the group.
    • Sum of a numeric field (for example, total margin).
    • Avg of a numeric field (for example, average days to fill).
  3. Add a second group to break the result down further, such as Recruiter then Client.

The report now shows one row per group, with the aggregations alongside.

Saving and sharing​

Once your report looks right, save it.

  1. Click Save.
  2. Pick a clear name and an optional description.
  3. Choose visibility:
    • Private - only you can see and edit the report.
    • Team-shared - anyone in the team or role you select can view and run it.

You can edit the report later. Team-shared reports remember the structure you defined; each viewer still sees rows their permissions allow.

Running on demand vs scheduling​

Reports can run two ways.

  • On demand - open the report and view results live. Useful for exploration.
  • Scheduled - the report runs on a cadence and delivers a file to your inbox.

To schedule, open a saved report and click Schedule. Pick a cadence (daily, weekly or monthly), a delivery time, recipients and a file format.

Scheduled delivery

Scheduled reports can email you or your team a CSV or PDF on a daily, weekly or monthly cadence. Recipients see the file even if they do not log in.

Example: a management or board report​

A custom report can bring a wide set of metrics together for a single consultant over a chosen period, for example to support a periodic review meeting. You would filter to that consultant and a date range, then add the columns and aggregations the review needs.

This is one example of what the builder can do. Reports like this are configured per workspace, so the exact reports available to you depend on how your workspace is set up.
