Calendar sync
Connect your work calendar so RecSphere can see when you are busy and create interview invites in the right place. RecSphere supports both Google and Microsoft 365.
Connecting a calendar​
- Go to Settings, then Integrations.
- Find Calendar in the list.
- Click Connect next to Google or Microsoft 365.
- Sign in with your work account when prompted.
- Review the permissions RecSphere is asking for, then approve.
You return to the Integrations page with the calendar marked as connected.
Permissions granted​
When you approve the connection, you grant RecSphere these permissions:
- Read your busy and free times, so interviews are not booked over existing meetings.
- Create and update events that RecSphere itself creates, such as interview invites.
- Read your basic profile, so the invites use your name and email.
RecSphere does not read the contents of events it did not create. It only sees that a slot is busy.
What RecSphere reads vs writes​
- Reads: busy and free times on the calendar you nominate. Used to block out times when proposing interview slots.
- Writes: events that RecSphere creates, like a confirmed interview. RecSphere can update or cancel these events if the interview changes.
RecSphere never edits or deletes events it did not create.
RecSphere reads your busy slots so interviews are not booked over them; it only writes events it creates.
Multiple calendars​
If you have more than one calendar on the same account (for example, a work calendar and a personal calendar), pick the one RecSphere should use:
- Go to Settings, then Integrations.
- Open the connected calendar.
- Under Calendars, set:
- Read availability from: one or more calendars. Use this to combine work and personal so interviews avoid both.
- Write events to: a single calendar. This is where new interview events appear.
Most users read availability from all their calendars and write events to their main work calendar.
Disconnecting​
To remove the connection:
- Go to Settings, then Integrations.
- Open the connected calendar.
- Click Disconnect and confirm.
Existing interview events stay on your calendar, but RecSphere can no longer update them.
Fixing permission errors​
If you see a permission error after connecting, the most common causes are:
- Your IT team has blocked third-party calendar access. Ask them to allow RecSphere for your account.
- You signed in with the wrong account. Disconnect and reconnect with your work account.
- The token has expired. Disconnect and reconnect to refresh it.
If the error persists, ask your workspace administrator or IT team to confirm that the calendar integration is allowed for your account.
