Interviews
Interview scheduling is managed from shortlist and candidate workflow records. Use it to record interview arrangements, keep the shortlist history up to date and log outcomes.
Scheduling an interview from a shortlist entry​
- Open the candidate's Shortlist record.
- Go to Details.
- In Interviews, click Add or use Schedule Interview where available.
- Enter the interview details and save.
You may also be able to start from related candidate, vacancy or shortlist actions depending on your permissions.
Choosing the format​
Pick one of:
- In-person, with a location field (for example, Bristol Royal Infirmary).
- Phone, with the candidate's number prefilled.
- Video, with an auto-generated meeting link.
The format drives which fields should be completed on the interview record.
Proposing multiple slots​
If your workspace uses proposed slots, add the available options and follow your communication process to confirm the agreed time with the candidate and client. If proposed slots are not enabled, enter the confirmed interview time directly.
Calendar invites​
Where calendar integration is configured, interview details can be used for calendar invites. The invite should go to the candidate, the client contact and any internal attendees you add.

Reminders​
Reminder behaviour depends on your workspace configuration and connected communication channels.
Rescheduling and cancelling​
To change the time, open the interview record and update or reschedule it using the available action. To call the interview off, cancel or update the record and add a reason so the shortlist history stays clear.
Logging the outcome​
After the interview, return to the interview record and log the outcome:
- Offer: the client wants to make an offer. The pipeline advances.
- Reject: the client passes on the candidate. The pipeline marks the candidate as rejected against this vacancy.
- Reschedule needed, No show and other outcomes are available too.
Logging an interview outcome can advance or reject the candidate in the pipeline automatically.
