Candidate compliance

The Compliance tab on a candidate record shows the candidate's compliance requirements, document status and related actions.

Open candidate compliance​

  1. Open Candidates.
  2. Open the candidate record.
  3. Select Compliance.

Compliance overview​

The Compliance tab can show:

  • Candidate Template
  • Engagement Level
  • Requirement
  • Status
  • File
  • Uploaded Date

This helps you see which documents or checks are complete and which still need attention.

Request documents​

Use Request Documents to ask the candidate for required compliance documents.

The request flow can include:

  • document selection
  • filter documents
  • select all
  • next step to compose email

Only request documents that are relevant to the candidate's role, engagement level or client requirements.

Where the candidate portal is enabled, requested compliance documents may also be visible to the candidate in the portal. This lets the candidate review what is outstanding and upload the required information through the configured workflow.

Use Send via One-Time Link when the candidate needs to upload specific documents without using the full candidate portal.

The one-time link flow can include:

  • document selection
  • select all
  • next step to send the one-time link
Check before sending

Document requests and one-time links can send information outside RecSphere. Confirm the candidate, documents and recipient before continuing.

Auto chase​

An Auto Chase action may be available depending on the candidate, compliance setup and permissions.

If Auto Chase is disabled, check whether:

  • the candidate has a compliance template
  • there are outstanding requirements
  • the candidate has contact details
  • the feature is enabled for your workspace
  • you have permission to use it

Audit history​

Use Audit History to review compliance-related changes and document activity where available.

Pipeline impact​

Compliance activity can affect pipeline status where pipeline automation is configured. Requesting compliance documents may move the candidate into a compliance-started stage, and completing required compliance may make the candidate submission ready.
