Candidate financials
The Financials tab on a candidate record stores payroll, supplier, tax, bank and onboarding information used by finance and payroll workflows.
Only users with the right permissions should edit this tab.
Open candidate financials​
- Open Candidates.
- Open the candidate record.
- Select Financials.
Employment type sections​
The Financials tab can support different candidate financial setups, including:
- Employee
- Company Contractor
- Umbrella
The fields available may change depending on the selected setup and your workspace configuration.
Payroll section​
The payroll section can include:
- Xero employment type
- Xero income type
- Xero employment basis
- Pay frequency
These fields help connect the candidate to payroll and accounting workflows where enabled.
Bank details​
Bank fields can include:
- Account Name
- BSB Code
- Account Number
- Statement Text
Check bank details carefully before using them in payroll processes.
Where candidate portal questionnaires are enabled, candidates may be asked to provide bank details, ABN details or other onboarding information through the portal. Review the returned information before using it for payroll, supplier bills or accounting records.
Tax and superannuation​
For AU payroll setups, the Financials tab can include:
- Tax File Number (TFN)
- TFN exemption type
- residency status
- tax-free threshold
- tax scale type
- study or training support loan
- tax offset or reduction
- additional tax withheld
- withholding variation
- leave loading
- super fund choice
- salary sacrifice arrangement
Payroll and tax fields can affect pay calculations or downstream payroll exports. Confirm details with the candidate and your payroll process before authorising changes.
Payroll review and authorisation​
The tab can include payroll onboarding status and authorisation fields such as:
- Authorise
- Authorised By
- Authorised At
Use these only when your internal payroll checks are complete.
Authorisation is a payroll control. It indicates that the candidate financial details have been reviewed and accepted according to your internal process.
Xero supplier and contractor details​
For contractor or supplier-style setups, the tab can include:
- purchases tax rate
- default currency
- purchases account
- payment terms
- legal entity name
- trading name
- ACN
- ABN
- ABN status
- entity type
- ABR check date
- registered address
- primary email
- phone
- website
- remittance email
- supplier bill settings
Where Xero is configured, these fields may be used to create or link supplier records.
For direct engagement or company contractor scenarios, candidate financial details can support supplier bill or invoice document generation, depending on your configured payroll and document workflows.
If Xero sync or payroll export validation fails, check whether required financial fields are missing. Common areas to review include bank details, superannuation setup, supplier details, payment terms and tax-related fields.
Umbrella setup​
If the candidate is paid through an umbrella provider, the tab can include umbrella and PSL details. The exact fields depend on your agency configuration.
