Client locations

Locations let you group a client's sites under one client record. Vacancies, contracts and invoices then link to the specific site, while still rolling up to the same client.

Why locations exist​

Most clients operate from more than one site. For example, NHS South West runs services across many hospitals, including:

  • Bristol Royal Infirmary
  • Bath Royal United Hospital
  • Birmingham Children's Hospital

Without locations, you would have to create a separate client record for each site, which fragments reporting and makes invoicing messy. With locations, you have one parent client and many sites underneath. A logistics client like Acme Logistics with sites at Oxford Logistics Hub and a Birmingham depot works the same way.

Adding a location​

  1. Open the client record from the Clients list.
  2. Go to the Locations tab.
  3. Click Add location.
  4. Enter the location name (for example, Bristol Royal Infirmary).
  5. Enter the site address.
  6. Optionally set a default rate card for this location.
  7. Click Save.

Assigning a default rate card to a location​

A location can have its own rate card that overrides the client-level card. This is useful when different sites pay different rates for the same role (for example, an inner-city hospital might pay a higher rate than a rural one).

To assign one, open the location and select a rate card from the Default rate card dropdown.

Inherit from client

If a location does not have its own rate card, contracts at that location use the client-level card.

Linking a vacancy to a specific location​

When you create a vacancy for a client with multiple locations, you choose which location it sits under. This makes the vacancy easier to find and ensures the right rate card applies.

The location field appears on the vacancy form just below the client field. If the client has only one location, RecSphere selects it automatically.

Reporting by location​

In the Reports page you can break down placements, fill rates and revenue by location. This is useful for showing a client how you are performing at each of their sites, and for spotting locations that need more attention.
