Aircall
The Aircall integration captures every call your team makes or receives and attaches it to the matching candidate or client record in RecSphere. You also get click-to-call from any phone number in the app.
Connecting Aircall​
- Open Settings > Integrations > Aircall.
- Click Connect. You are redirected to Aircall to sign in.
- Authorise RecSphere to read call events and user lists.
- You are returned to RecSphere. The panel shows your Aircall workspace name.
Mapping Aircall users to RecSphere users​
Aircall and RecSphere each have their own user lists, so you need to tell RecSphere who is who.
- In the Aircall panel, open the User mapping tab.
- For each Aircall user, pick the matching RecSphere user from the dropdown.
- Click Save mappings.
Users that you do not map cannot log calls, so make sure every active recruiter is paired.
Assigning phone numbers to users​
In Settings > Integrations > Aircall you also see the phone numbers assigned to your Aircall account. Assign each number to the RecSphere user who should call from it:
- Find the phone number in the list.
- Pick the RecSphere user to assign it to.
- Save the assignment.
When a user has more than one number assigned, they choose which one to call from at the point of making a call.
Automatic call logging​
When a call ends, Aircall sends RecSphere the caller's number, duration and direction. RecSphere then:
- Looks for a candidate or client contact whose phone number matches the caller ID.
- If there is one match, the call is logged against that record automatically.
- If there are multiple matches (the same number on more than one record), the call goes to an Unmatched queue for you to assign.
The call appears in the record's activity timeline with the recruiter's name, the call direction (inbound or outbound), the duration and a link to the recording in Aircall if recording is enabled.
Calls from unknown numbers appear in an Unmatched section so you can attach them to the right record manually.
What syncs back into RecSphere​
Calls, SMS, transcriptions, summaries and recordings all sync back from Aircall and appear in the candidate's contact log. The recording streams directly from Aircall behind a play button, so you can listen back without opening Aircall separately. See Inbox for how the contact log and call detail work.
Call notes synced back​
If you add a note to a call in Aircall, RecSphere pulls the note into the activity timeline so everyone sees the same context. Notes you add to the call in RecSphere stay in RecSphere only.
Call review page​
The call review page is available to admins only. Incoming or outgoing calls that are not allocated to a person fall into a call-review queue. From there an admin can see who each call was logged against and reallocate it to the correct person.
Click-to-call​
Any phone number displayed in RecSphere becomes clickable when Aircall is connected.
- On a candidate or client record, click the phone number. The Aircall dialer opens.
- If you have more than one number assigned, choose which number to call from.
- Set a call type, for example a check-in.
- Click Call. The Aircall desktop app opens and starts the call.
The call is logged automatically when it ends.
Supported call routing​
The integration supports Aircall's standard call routing, including:
- IVR menus (interactive voice response - the keypad menu callers hear).
- Ring groups and round-robin distribution.
- Business hours and out-of-hours forwarding.
RecSphere logs the call against the recruiter who eventually answered (for inbound) or initiated the call (for outbound), regardless of the routing path.
