Mailchimp
The Mailchimp integration syncs your RecSphere saved lists into Mailchimp audiences so your marketing team can run email campaigns to candidates and clients. Campaign results flow back into RecSphere so you can see who opened and clicked.
Connecting Mailchimp​
- Open Settings > Integrations > Mailchimp.
- Click Connect. You are redirected to Mailchimp to sign in.
- Authorise RecSphere to read your audiences and write contacts.
- You are returned to RecSphere. The panel shows your Mailchimp account name.
Choosing an audience​
Mailchimp organises contacts into audiences (also called lists). Pick which one RecSphere should sync into.
- In the Mailchimp panel, open the Audience tab.
- Choose an audience from the dropdown, or click Create new to make one.
- Click Save.
You can only sync into one audience at a time. If you change the audience later, contacts already pushed stay in the previous audience until you remove them in Mailchimp.
Mapping saved lists to segments​
In RecSphere, saved lists are filtered groups of candidates or clients (see Saved lists). Map each saved list to a Mailchimp segment.
- Open the List mapping tab.
- Click Add mapping.
- Pick a RecSphere saved list (for example, "Active nurses in the South West").
- Pick or create a Mailchimp segment.
- Click Save.
Each contact in the saved list is pushed to Mailchimp and tagged with the segment name. When you remove a contact from the saved list, they are removed from the segment too on the next sync.
Adding a candidate to a list from their record​
You can also add a single candidate to a Mailchimp list directly from their record:
- Open the candidate record (for example, Sarah Williams).
- From the quick actions, choose to add the candidate to a Mailchimp list.
- Pick the list.
The candidate is pushed to the chosen Mailchimp list. This is handy for adding one person to a marketing audience without building a saved list first.
Sync direction​
The default sync direction is RecSphere to Mailchimp. Mailchimp does not push contacts back to RecSphere, so any candidates added directly in Mailchimp will not appear in your candidate records.
This keeps your candidate database authoritative and prevents stray contacts from creating duplicates.
GDPR opt-in handling​
Only candidates and contacts with marketing consent are eligible for sync. The integration filters automatically, so contacts without consent never reach Mailchimp.
If a candidate withdraws consent later, they are removed from Mailchimp on the next sync. You can review the consent flag on any candidate record.
Tracking campaign results in RecSphere​
After a Mailchimp campaign is sent, the integration pulls campaign-level results back into RecSphere:
- Open and click rates.
- Per-contact engagement (opens, clicks, unsubscribes).
Engagement appears on the candidate or client record's activity timeline. Marketing performance reports show overall campaign metrics in Reports > Marketing.
Disconnecting​
To remove the connection, open the Mailchimp panel and click Disconnect. RecSphere stops pushing contacts immediately. Contacts already in Mailchimp stay there until you remove them in Mailchimp directly.
