System values
System values are the configurable dropdown and list values used across RecSphere. They power the choices you see throughout the platform, including sectors, settings and types, task types, sources, statuses and document types. Keeping them tidy keeps your records consistent and your reporting clean.
Where to find them
Open Settings > System Values. The page includes a search field and a category menu for areas such as Candidate, Client, Contact and Contract. Recruiters and admins with access can edit existing values or add new ones. Each value belongs to a category, such as the sources you can attribute a candidate to or the statuses a record can move through.
Adding and editing values
Pick the category you want to manage, then edit a value in place or use the add action to create one. Because these values appear in dropdowns across the platform, a change here is reflected everywhere that value is used.
Renaming a value updates how it appears across the platform, but existing records keep the value they were already assigned. Take care before removing a value that is still in use.
Status values
Status values are a specific type of system value used to describe where a record is in its workflow. RecSphere stores a System Name for logic and reporting, while admins can maintain a Friendly Name and colour so the UI matches the language your team uses.
For the main CRM status categories, see Status definitions.
Australia: workers' compensation matching
If you operate in Australia, the Sector, Setting and Type values are also used to match a contract to the correct workers' compensation rate. The strings you set here must exactly match the strings used in the workers' compensation table. If they do not match exactly, matching falls back to the default rate rather than the intended one.
When you add or rename any of these values for an AU workspace, check the workers' compensation table at the same time so the two stay aligned. See Australian payroll.
A short, well-named list of system values is easier to use and report on than a long one full of near-duplicates. Review your categories periodically and merge values that mean the same thing.
