Saved lists and bulk actions
Saved lists let you keep a reusable group of records without changing the underlying records.
Bulk actions let you apply an action to several selected records at once. Availability depends on the record type, permissions and workspace configuration.
Create a saved list​
From a list screen, select the records you want to keep together and use the bulk action to save them to a list.
You can save records such as:
- candidates
- clients
- vacancies
- shortlists
- contracts
- contacts
Use saved lists for working groups such as candidates to call, active contracts to monitor, contacts for a client campaign or records that need follow-up.
Select records​
You can select records individually or use the list checkbox to select a page of records.
Where available, the page-size control can show more rows at once. If you use Select all, check the selected count carefully before applying a bulk action.
Bulk actions can affect many records at once. Confirm the selected count and any active filters before continuing.
Share a saved list​
Saved lists can be shared with other users where permissions allow.
Access levels can include:
- Read only - the user can view the list but cannot manage its records.
- Admin - the user can manage the list, including adding or removing records.
Share lists only with users who need access to that working set.
Open a list in a record view​
Use Open in this view where available to apply the saved list as a filter on the related record screen.
When a list is applied as a filter, check whether any other filters are still active. If the record count looks wrong, open the filter panel and clear or adjust the extra filters.
Common bulk actions​
Depending on permissions, bulk actions can include:
- save to list
- send email
- export to Mailchimp
- reset or update temperature
- export records
Use communication and export actions carefully because they can send or prepare data outside RecSphere.
