Publishing to job boards
RecSphere publishes your vacancies to external job boards through idibu, a multiposting platform. You post a vacancy once in RecSphere, idibu distributes it to the boards you advertise on, and applications flow back automatically. There is no need to copy details into a separate system.
How it works​
- idibu is the single connection that handles all your job boards. It holds your contracts with the individual boards (for example Indeed, Reed, CV-Library, Totaljobs and many others), so you manage one integration rather than one per board.
- The boards you can post to mirror those set up in your idibu account.
- The public RecSphere listing (the URL you can share independently of any job board) is always available and does not require an integration.
Set up the integration first​
Before you publish for the first time, an admin needs to connect idibu:
- Go to Integrations > idibu.
- Enter your idibu API credentials.
- Save and test the connection.
Once the connection is in place, the Publish option and your idibu boards appear on every vacancy you have permission to edit. See idibu for the full setup.
Choose which vacancies to publish​
You do not have to publish every vacancy. Many recruiters publish only the roles they need extra applicant flow on, and source the rest from their existing candidate database.
From the vacancy detail view, open the Publishing panel. You will see your idibu boards, each with a toggle and a status (Not published, Pending, Published, Error).
For bulk publishing, select multiple vacancies in the list view and choose Publish from the bulk actions menu. You will be asked which boards to publish to.
Preview before publishing​
Click Preview in the Publishing panel to see exactly what candidates will see, including the title, description, location and rate. The preview also flags any missing fields a board requires.
For example, some boards require a job description of at least a few hundred characters. If your description is shorter, the preview shows a warning before publish.
Every published vacancy has a public URL you can share independently, even outside the job boards. You will find it in the Publishing panel under "Public listing".
How applications flow back into RecSphere​
When a candidate applies through a board, idibu passes the application back and it appears on the Applications tab of the vacancy within a few minutes. RecSphere creates or matches a candidate record, parses the CV into structured fields and attaches any cover letter.
You work the application from inside RecSphere; the candidate sees their reply confirmation from the board they applied through. There is no separate inbox to monitor.
Unpublishing​
To stop a vacancy appearing on a board, open the Publishing panel and toggle the board off, or use the Unpost action. idibu removes the listing from the board on the next sync, usually within a few minutes.
Unpublishing does not delete any applications that have already arrived. They stay on the vacancy and on the candidate record.
